4 Reasons to Host Your Event Virtually

From the beginning, the Coronavirus has disrupted a variety of industries. The immediate disruptions were obvious and widespread: toilet paper and hand sanitizer were nonexistent, grocery store shelves were empty, and many businesses were closed. These closures, along with many companies transitioning their employees to working from home, made it difficult to communicate with their staff, clientele, and customers.

Studio46 Media, a video and live event production company located in Lexington, KY recognizes the unique challenges facing organizations throughout Central Kentucky and all over the United States right now as we continue this battle with COVID-19. Many companies have lost the opportunity to see their clients face to face at meetings, annual conferences, and trade shows, and many event and meeting planners were forced to cancel the in-person events that they had been planning for months – a process that is both frustrating. While we know that the closures, cancellations, and postponements are in the best interest of everyone involved, it doesn’t mean that you have to cancel your events entirely.

Why not take your event virtual?

Pros of Hosting Your Event Virtually

  • Flexible. We all long for flexibility, right? There are many web and video conferencing tools that can assist you in going virtual, with these tools at your disposal, you have many to choose from to ensure you meet the needs of your company.
  • Interactive. Offering a virtual event allows companies an interactive platform to communicate with their clients, employees, and vendors alike. From live-tweeting to live streaming, businesses and organizations are staging virtual events across the web where they can still interact with others.
  • Reach a Wider Audience. Companies are not always capable of sending employees to a training or event, but by going virtual, you will see that you have a higher attendance rate. Virtual events make it much easier to scale, you can host more people for a fraction of the cost which means you can now expand your reach and promote your brand to a wider audience.
  • Great fundraising tool. While reaching a wider audience, a virtual event also allows you to use integrated tools like live leaderboards, donor scrolls, campaign updates, and video. All of these tools make it easy for organizations to engage with their supporters before, during, and after the event.

Recently, Studio46 Media had the opportunity to assist a local non-profit organization, Step-by-Step, move their yearly “Step Into Beautiful” event virtual. This event is their largest fundraiser that helps raise the funds to meet their annual operating budget, so they can continue to serve moms and kids every day. The money raised during this event is also used to launch their emergency relief fund so that they can help the urgent and immediate needs of the moms and kids in their program. Executive Director of Step-by-Step, Tanya Torp shared her gratitude and stated, “This is the most professional environment we’ve ever been in; they created a studio for us!”

By taking their event virtual, we were able to calm their nerves and take the production of the event into our hands. Step-by-Step successfully reached their goal and are able to continue supporting the non-profits work each day with young moms and their kids, and fund their new emergency relief fund.

The age of Virtual Events is only beginning, and as you are looking at planning your next event – contact Studio46 Media so that we can help you create an incredible experience for everyone involved.
